Reception Team Leader - Huddersfield

University Health Centre  

Surgery Description:

The Medical Practice of Drs Mounsey, Rasakumaran and Thomas is based at the University Health Centre, Sand Street, Huddersfield 

The list of patients (approximately 15,000) consists in the main of students aged 18-25, many of whom are from overseas, and students’ spouses and children, former students, some staff and others from the local community completing the Practice profile. 

The Practice area covers a 3 mile radius from the University Campus in Queensgate and the Storthes Hall Campus at Kirkburton. 

As at all general practitioners, Primary Medical Services are provided throughout the year, with a strong emphasis on promotion of health. 

Surgeries are held mainly between 8.30am and 5.30pm with a high consultation rate.  Extended Hours are provided which may require working outside of the normal core hours.  The visiting demand is relatively small.  The workload is always heavy, with some times of the year being particularly hectic and flexibility of hours will be necessary. 

In general, the receptionist will work a rota which involves opening the Health Centre at 8.00am and similarly, the latest shift includes closing the Health Centre at 6.00pm (with the exception of Extended Hours).  

Core Reception Staff Duties Include:- 

  • Answering telephone/dealing with patients at the desk 
  • Booking of appointments 
  • Sending out letters re appointment cancellations 
  • Sending out letters/text messages as required to do so re results etc 
  • Processing of incoming notes/coding/summarising 
  • Scanning of letters and coding as required 
  • Pulling surgeries and printing of forms as required 
  • Processing of FP22s 
  • Processing of FP69s in a pro-active  manner 
  • Processing of GP Link items – e.g. amendments 
  • Processing changes of address 
  • Processing of ID Link items 
  • Assisting with Patient Surveys as required to do so 
  • Week ahead checking of surgeries for correct BODs etc 
  • Inputting samples into the appropriate book 
  • Running an efficient bring forward diary 
  • Processing of prescription requests and practice notes 
  • Checking of practice website and dealing with incoming mail from that area/PAS Web/NHS Net/TB Website 
  • Filing of notes/letters 
  • Photocopying as required 
  • Texting patients re appointments etc 
  • Stocking of clinical rooms 
  • Collation of DNA statistics 
  • Creation of posters as required 
  • Ensuring end of day and opening up procedures adhered to 
  • Recorded message to be completed and phones diverted as required 
  • Premises to be secured as required at the end of the day
